This policy explains what personal information we collect, why we collect it, how we use it, and the rights you have over it. It applies to handelpianos.co.uk and to enquiries made through this site.

Information you give us
When you enquire about a piano or a service, we collect your name, email address, telephone number, the content of your message, and a record of which instrument or service you enquired about.

When you request a free piano valuation, we collect the details you provide about the instrument - make, model, approximate age and condition - along with any photographs you upload, your postcode or location, and your contact details.

When you contact us by email or telephone, we collect the information contained in that correspondence.
When you subscribe to updates about new stock, we collect your name, email address, and any preferences you tell us about, such as the type of instrument you are looking for.

Information collected automatically
Cookies and similar technologies. When you visit the site, we and our partners may place cookies on your device. These record information such as your IP address, browser type, device type, the pages you visit, and how you arrived at the site. See Section 6.

Analytics data. We use Google Analytics to understand how visitors use the site, so that we can improve it.

Advertising data. We use Google Ads, including remarketing, which allows us to show our advertisements to people who have previously visited the site.

Photographs you send us
If you submit photographs as part of a valuation request, please be aware that these may show more than the instrument - the room it stands in, other possessions, or people. We ask that you send only photographs you are content to share, and we treat them as described in Section 5.

3. Why we use your information, and our lawful basis
Under UK GDPR we must have a lawful basis for processing your personal information. Ours are set out below.
To respond to your enquiry about an instrument or service. We use your contact details and message to answer your question and, where relevant, to arrange a viewing or a sale. Our lawful basis is our legitimate interest in responding to people who contact us, or where you are considering a purchase, the steps taken at your request before entering into a contract.

To provide a free valuation of your piano. We use the details and photographs you send to assess the instrument and give you a figure. Our lawful basis is the steps taken at your request before entering into a contract.

To arrange delivery, tuning, restoration, removal or disposal. We use your details to fulfil the service you have asked us to provide. Our lawful basis is the performance of our contract with you.

To send you information about instruments matching your stated interests. Where you have asked us to let you know when a suitable piano arrives, we will contact you. Our lawful basis is your consent, which you may withdraw at any time.

To keep records of transactions and correspondence. We retain records to meet our accounting and tax obligations. Our lawful basis is compliance with a legal obligation.

To understand how the website is used, and to show you our advertising elsewhere online. Our lawful basis is your consent, given through the cookie banner when you first visit the site.

Where we rely on consent, you may withdraw it at any time. Withdrawing consent does not affect anything we did lawfully before you withdrew it.

4. Who we share your information with
We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.

Google, which provides Google Analytics and Google Ads. Where you have consented to analytics and advertising cookies, Google receives information about your visit.

Transfers outside the UK
Some of these providers process information outside the United Kingdom, including in the United States and Israel. Where information is transferred outside the UK, we rely on appropriate safeguards - such as the UK International Data Transfer Addendum, the EU Standard Contractual Clauses, or an adequacy decision made by the UK government — to ensure your information receives an equivalent level of protection.

5. How long we keep your information
We keep personal information only for as long as we need it.
Enquiries that do not lead to a sale are kept for two years from your last contact with us, after which they are deleted.

Valuation requests, including photographs, are kept for twelve months from the date of the valuation, unless the instrument is purchased or taken in part-exchange, in which case the records form part of our transaction records. If you ask us to delete your photographs sooner, we will do so.
​
Customer records are kept for as long as we are servicing your instrument, and then for six years after our last transaction with you, in order to meet our obligations under UK tax and accounting law.
​
Marketing subscriptions are kept until you unsubscribe, or after two years of inactivity, whichever comes first.
​
Website analytics data is kept in line with Google Analytics' retention settings.

6. Cookies
Cookies are small text files placed on your device when you visit a website.

Strictly necessary cookies allow the site to function — for example, remembering the contents of a form as you fill it in. These cannot be switched off.

Analytics cookies tell us how visitors use the site, which pages they read, and where they came from. We use Google Analytics for this.

8. Keeping your information secure
We take appropriate technical and organisational measures to protect your personal information against loss, misuse, unauthorised access and disclosure. Our website is served over an encrypted connection, and access to enquiry records is limited to those members of staff who need it.

No transmission of information over the internet can be guaranteed entirely secure. Please do not send us bank details, card numbers or passwords by email.

9. Children
This website is not directed at children, and we do not knowingly collect personal information from anyone under the age of sixteen. If you believe a child has provided us with personal information, please contact us and we will delete it.

10. Complaints
